Privacy policy

Last updated: 6 October 2026. This policy explains what personal data S.C. ROEL S.R.L. processes through the website www.roelgroup.com, for what purposes, and what rights you have, in accordance with Regulation (EU) 2016/679 (the "GDPR").

1. Who we are

2. What data we process

We process only the data you send us through the website's forms and the technical data strictly necessary for the website to function:

  • Quote requests, contact messages and service requests: surname, first name, e-mail, phone number, company (optional), your message and the page from which you submitted the form.
  • Job applications: full name, e-mail, phone number, message (optional) and the uploaded CV, together with the data it contains.
  • Technical data: IP address, browser and device type, the page accessed and the time of access, automatically recorded in the server logs for the operation and security of the website.
  • Website usage data (statistics and marketing), collected through cookies only if you have given your consent, in accordance with the Cookie policy.

We do not ask you for sensitive data (special categories of data), and we ask you not to include such data in your messages or CV.

  • Responding to quote, contact and service requests – to contact you and send you the quote or solution requested. Legal basis: steps taken at your request prior to entering into a contract (Art. 6(1)(b) GDPR) and our legitimate interest in responding to customer requests (Art. 6(1)(f)).
  • Recruitment – to assess your application and contact you. Legal basis: steps taken prior to entering into an employment contract (Art. 6(1)(b)) and your consent, given by submitting the application (Art. 6(1)(a)).
  • Statistics and marketing – to understand how the website is used and to measure campaigns. Legal basis: your consent (Art. 6(1)(a)), which you can withdraw at any time via "Cookie settings".
  • Operation and security of the website – preventing abuse (for example, automated spam messages) and diagnosing errors. Legal basis: our legitimate interest (Art. 6(1)(f)).
  • Legal obligations – for example, responding to requests from authorities. Legal basis: legal obligation (Art. 6(1)(c)).

4. How form data is handled

Messages submitted through the website's forms are sent to us by e-mail, to the designated ROEL addresses (for example, sales@roelgroup.com for quotes and hr@roelgroup.com for applications). The website does not store these messages in its own database. The CV is attached to the e-mail and is not kept on the website's servers.

5. How long we keep the data

  • Quote, contact and service requests: for as long as necessary to respond to you and for any contractual relationship that follows, plus the periods required by law.
  • Job applications: for the duration of the recruitment process. If you would like us to keep your CV for future positions, you can let us know.
  • Technical server logs: no more than 30 days.
  • Data collected through cookies: in accordance with the periods set out in the Cookie policy.

6. Who we share the data with

We do not sell your data. To operate the website, we use the following providers, which process data on our behalf (processors) or as independent controllers:

  • Google Cloud / Firebase (Google Ireland Limited) – hosting of the website, its content and images, in data centres in the European Union.
  • Google Analytics, Google Tag Manager and, where applicable, Google Ads (Google Ireland Limited) – only if you have accepted statistics or marketing cookies.
  • OpenStreetMap Foundation – the map on the contact page is loaded from OpenStreetMap's servers, which therefore receive your browser's IP address.
  • Our e-mail service provider – for receiving messages submitted through the forms.
  • Public authorities, where required by law.

7. Transfers outside the European Economic Area

The website's data is hosted in the European Union. Some providers (for example, Google) may access or transfer data outside the EEA, including to the USA. In such cases, the transfer takes place on the basis of the safeguards provided for by the GDPR, such as the adequacy decision on the EU-U.S. Data Privacy Framework or the standard contractual clauses approved by the European Commission.

8. Data security

We use appropriate technical and organisational measures: an encrypted connection (HTTPS) across the entire website, access to the administration area restricted to authorised persons with separate roles, and certified infrastructure providers. Nevertheless, no transmission over the internet is completely secure.

9. Your rights

Under the conditions laid down by the GDPR, you have the right:

  • of access to the data concerning you and to receive a copy of it;
  • to rectification of inaccurate or incomplete data;
  • to erasure of data (the "right to be forgotten");
  • to restriction of processing;
  • to data portability;
  • to object to processing based on our legitimate interest, including processing for direct marketing purposes;
  • to withdraw your consent at any time, without affecting the lawfulness of processing carried out before its withdrawal;
  • not to be subject to a decision based solely on automated processing.

You also have the right to lodge a complaint with the Romanian National Supervisory Authority for Personal Data Processing (ANSPDCP, www.dataprotection.ro) and to apply to the competent courts.

10. Minors

The website is intended for companies and professionals and is not aimed at minors. We do not knowingly collect data from persons under the age of 16. If you become aware that a minor has sent us data, please contact us so that we can delete it.

11. Changes to this policy

We may update this policy when the way we process data or the legal requirements change. The version in force is always the one published on this page, with the date of the last update stated at the beginning.
